It’s 6:45 PM on a Friday at the end of the month. Inside a bustling design studio off Ngong Road, sewing machines have finally gone quiet, but founder Achieng Otieno’s workday is only just starting.
Achieng runs a contemporary fashion label with 16 full-time staff, half a dozen freelance tailors, and a steady rotation of fabric suppliers from Nairobi’s CBD and Gikomba market. Orders are steady, her pop-up stalls in Westlands perform well, and retail clients consistently pay via till numbers and direct bank transfers.
Yet, every 30th of the month used to look identical: sheer logistical panic.
The Problem: Fragmented Systems
“Before, month-end meant three screens open at once,” Achieng recalls. “My head accountant, Brian, would bring me a folder of physical supplier delivery notes. I would have to log into our bank portal to send RTGS payments to fabric importers, then use my phone to send mobile money to day-wage artisans, and finally log into KRA’s portal to clear statutory dues before midnight.”
The real headache, however, was governance. If Achieng was away sourcing fabrics in Mombasa or pitching corporate uniforms across town, Brian couldn’t pay urgent dispatch fees without Achieng sharing personal OTPs or passwords, a risky habit that left both of them uncomfortable.
“We were spending two days every month just moving money and matching bank statements against mobile money confirmation texts,” she says. “It was exhausting.”
Three months ago, Achieng’s bank relationship manager migrated their commercial accounts to Equity Online for Business. The change shifted their workflow within hours:
- Maker-Checker Workflows: Achieng set Brian up with a “Maker” profile. He prepares every invoice, enters supplier bank details, and drafts the monthly payroll. Achieng holds the “Checker/Approver” rights on her phone. Whether she is in traffic on Uhuru Highway or at a fashion exhibition, she receives a prompt, checks the amounts against attached digital invoices, and approves disbursements with a tap.
- Batch Disbursements: Rather than entering 22 individual salary transfers across four different banks and two mobile money networks, Brian uploads a single consolidated CSV file. Salaries hit team accounts simultaneously on the 30th.
- Automated Tax and Utility Tracking: Rent, workshop electricity, and monthly tax, SHIF and NSSF obligations are now scheduled on recurring cycles with built-in reminders, eliminating last-minute rush penalties.
Beyond cutting administrative processing time from two full working days to roughly 20 minutes, Achieng points to the dashboard’s cash forecasting tools as the quiet game-changer.
“Before we place an order for bulk cotton from Arusha, I just open the cash-position screen,” she explains. “I can see our settled collections against upcoming scheduled vendor payments for the next two weeks. I no longer guess whether we have enough working capital to take on an unexpected large contract.”
For Achieng, the biggest advantage isn’t just convenience; it’s the professional structure the platform gives her growing company.
“When you start out, running your business finances out of your personal mobile app feels normal,” she smiles. “But when you want to build an enterprise that outlasts you, you need systems that give your team autonomy while keeping you in total control.”
